Most homeschool co-ops are run by parents, not staff, so the work has to be shared. When it is not, a few families burn out. A clear sign-up sheet with specific jobs and dates makes it easy for people to say yes, and easy to see when a job is still open.
| Job | What it involves |
|---|---|
| Greeter / check-in | Welcome families, mark attendance, point new families to the right room. |
| Setup | Arrive early, set up tables and chairs, put out signs. |
| Cleanup | Reset the room, wipe tables, take out the trash. |
| Snacks | Bring or organize snacks, and check the allergy list. |
| Class helper | Assist the teacher, hand out supplies, keep kids on task. |
| Hallway / playground monitor | Keep an eye on kids between classes and outdoors. |
| First-aid and emergency contact | Know where the first-aid kit is and keep the emergency contacts handy. |
| Communications | Send reminders, share the week's plan and answer questions. |
It will happen, usually because a child is sick or a car will not start, not because anyone is slacking. Decide the plan before it does. Name one backup per date, and keep a short list of families who have said they can step in on short notice. If a job is skipped twice with no message, the organizer can have a quiet, friendly chat to see whether the load is too heavy for that family rather than treating it as a rule violation.
Children can take real responsibility too, and it takes some of the weight off parents. Older kids can greet younger ones, hand out supplies or help reset the room, and younger kids can wipe tables or carry snack baskets. Put these on the sheet as their own line so they feel official, and always pair kids with an adult who is responsible for the job.

In Lumi Circles, a co-op admin posts a meetup and adds jobs with a number of spots, such as snacks, games helper or setup. Families tap "Sign up" or "I can help", and everyone can see which jobs are still open. Parents also RSVP going, maybe or can't. Circles is for Lumi Academy and Lumi High members.

Ask each family to cover about the same number of jobs per term, mix easy and harder jobs, allow swaps, plan a backup for each date and say thank you.
Make jobs specific and short, show exactly which ones are open, set a clear expectation in your rules, and let families pick the job and date that suits them.
Yes. A co-op admin can add jobs with a number of spots to a meetup, and families tap to sign up. It is available to Lumi Academy and Lumi High members.
