Why Record Keeping Matters

Some states require homeschoolers to keep and sometimes submit records; others don't ask for much at all. But even where it's not required, good records protect you โ€” they're what you'd need if you ever enroll a child back into a traditional school, apply to a program with prerequisites, put together a transcript for college, or simply want to look back and see how far a child has come. It's much easier to keep records as you go than to reconstruct a year after the fact.

What to Keep

๐Ÿ“…
Attendance / Instructional Days
A log of days or hours spent on instruction โ€” required by some states, useful for everyone as proof of a consistent school year.
๐Ÿ“Š
Grades & Scores
Whatever grading approach you use, keep a running record by subject and date rather than trying to reconstruct it later.
๐Ÿ“š
Curriculum Used
A simple list of what curriculum or materials were used each subject, each year โ€” useful for transcripts and for your own reference.
๐ŸŽจ
Work Samples
A portfolio of representative work โ€” a few pieces per subject per term is usually enough. Some states or umbrella schools require a portfolio review.
๐Ÿ“‹
Report Cards / Progress Reports
Periodic (quarterly, semester, or annual) summaries that show overall progress by subject โ€” the backbone of a future transcript.
๐Ÿฅ
Immunization & Other State-Required Forms
Some states require specific forms filed with a school district or umbrella program โ€” check your state's requirements directly since these vary widely.

How Long to Keep Records

A safe rule of thumb: keep the current year's records plus the prior two to three years easily accessible, and hold on to high school records โ€” transcripts, course lists, grades โ€” permanently, since colleges and employers may ask for them years later. Digital records solve most of the storage problem; just make sure you have a backup somewhere other than a single device.
